AI assistants have moved quickly from novelty to everyday tools. Used well, they help you draft, summarise, organise and research faster. Used carelessly, they produce confident-sounding mistakes. The difference is rarely the tool. It is how you work with it.

Start with the work, not the tool

Before trying anything new, list the tasks that fill your week. Look for work that is repetitive, text-heavy or follows a pattern. Good first candidates include:

  • Drafting first versions of emails, posts and reports
  • Summarising long documents or meeting notes
  • Turning rough notes into structured plans and checklists
  • Brainstorming headlines, outlines or questions

Pick one task. Getting real value from one workflow teaches you more than dabbling in ten.

Write clear instructions

AI tools respond to the instructions you give them. Vague requests get generic answers. A useful prompt usually covers four things:

  1. Context: who the output is for and why it is needed
  2. Task: exactly what you want produced
  3. Constraints: length, tone, format and anything to avoid
  4. Example: a sample of what good looks like, if you have one

If the first answer misses, don't start again. Tell the tool what to change, just as you would brief a colleague.

Check everything before you use it

AI output can be wrong while sounding certain. Treat it as a first draft from a fast but inexperienced assistant. Check facts, names, figures and links against a reliable source, and read the whole thing before it goes out under your name.

A simple rule: if you could not explain where a claim came from, do not publish it.

Protect private information

Be careful about what you paste into any online tool. Customer details, financial records, passwords and confidential business information should stay out unless your organisation has approved the tool for that use. When in doubt, remove names and identifying details first.

Build the habit

Once one workflow is working, write down the prompt and the checks that made it reliable, and share them with your team. Small, documented wins spread faster than big, unplanned rollouts.
